SABBATICAL LEAVE GUIDELINES FOR COUNTY-BASED ACADEMIC EMPLOYEES

(REVISED JULY, 1995)

Sabbatical leaves are granted to enable recipients to be engaged in intensive programs of research and/or study, thus to become more effective researchers and extenders of knowledge and to enhance their services to Cooperative Extension and the University.

DANR Administrative Handbook Section 340.III states that the request for sabbatical leave shall be accompanied by a complete leave plan, including a statement providing in detail a description of all financial support requested during the sabbatical leave. For DANR employees this includes any requests for travel funds, use of donor accounts, use of facilities, support staff, vehicles, etc. which the employee may wish to use while on sabbatical leave.

These resources may be available during sabbatical leave only if specifically requested in the sabbatical leave plan and approved by the County and Regional Director prior to the leave. While on sabbatical leave, academics are not expected to conduct their normal work activities. Resources that are considered a part of normal work activities are available only if warranted by exceptional circumstances related to the sabbatical leave and if prior approval for the use of these resources has been obtained from the County Director and Regional Director.

From time to time, when changes in the University's needs or circumstances dictate, it may be necessary to make exceptions to these general guidelines. Consult with the County Director to discuss the situation, and ask that he/she discuss any concerns with the Regional Office. Authority for changes must be secured from the Regional Director.

USE OF RESOURCES DURING SABBATICAL LEAVE

* USE OF FUNDS

UC funds from gifts, grants or contracts may be used by the individual during a study leave or sabbatical if such use is within the intended use of the funds and within UC policy, and is included in the sabbatical leave plan and approved prior to the leave.

* TRAVEL

Reimbursement for travel undertaken during sabbatical leave may be allowed if approved in the sabbatical leave plan. All reimbursement requests must be submitted through the County Director. Out-of-state approvals are not required if the travel has already been approved in the sabbatical plan.

* USE OF UNIVERSITY OR COUNTY FACILITIES, SUPPORT, OR CARS

While on sabbatical leave, academics are not expected to conduct normal work activities. Resources that are considered a part of normal work activities are available only if warranted by exceptional circumstances. Prior approval for the use of these resources must be obtained from the County Director and Regional Director.

* USE OF PENALTY MAIL

Penalty mail is not available for use during sabbatical leave unless exceptional circumstances warrant it and such use has the prior approval of the Regional Director.
