I.        PURPOSE

Every academic appointee shall have a written Position Description setting forth the objectives and responsibilities of the position, as agreed to by the individual and his or her supervisor. In the event that an agreement cannot be reached, the person at the next administrative level (for example, the Regional Director) shall make the final decision. Shortly after appointment, the appointee shall consult with the supervisor to determine the duties of the position, and the knowledge, skills, and abilities needed to perform them successfully. The initial Position Description is based on the PVA and includes a section on the appointee's affirmative action responsibilities. For generic CE Advisor and CE Specialist Position Descriptions that can be used as guidelines, see Appendix I.

II.      PROCEDURE AND FORMAT

The individual, in consultation with the County Director, the SSPP Director or the Director- Research and Extension Center System, and the Regional Director, the appropriate Program Leader, or the Assistant Vice President-Programs, as appropriate, should prepare the Position Description using the following or a similar format:

  1. Title

The working title should be used. For example, Farm Advisor, Home Economist, 4-H Youth Development Advisor, or County Director.

  1. Nature and Purpose

The primary purpose or program focus of the position, including affirmative action responsibilities, should be summarized in an introductory paragraph.

  1. Major Responsibilities

The major duties that must be satisfactorily accomplished to fulfill the requirements of the position should be described in paragraph form and listed in order of importance. Specific responsibilities in affirmative action must be described.

  1. Relationships

Relationships that are essential to accomplish the duties of the position should be described. These include line organization as well as internal and external cooperative relationships.

  1. Approval

The final Position Description should be signed and dated by the appointee, signifying acceptance, and by the appropriate supervisor or supervisors, signifying approval.

Approved Position Descriptions for CE Advisors should be sent to the appropriate Regional Director. Approved Position Descriptions for SSPP Advisors should be sent to the appropriate SSPP Director through the Regional Director. Approved Position Descriptions for Academic Coordinators should be forwarded to the Director-Research and Extension Center System or other appropriate supervisor.

  1. Updating

Position Descriptions should be reviewed periodically and should be updated when the position changes.

III.     PLANS OF WORK

In addition to a Position Description, there should be an annual Plan of Work for each academic appointee. The Plan of Work should be reviewed, reevaluated, and updated annually.
