Upon retirement from the University, CE academic personnel may be granted the title suffix Emeritus. This title is not automatically granted.

I. CRITERIA

Each candidate for the Emeritus title must have at least ten years of University service and must have attained the highest rank in his or her title series. Each nomination should be accompanied by evidence of meritorious service to the University, in the form of a recommendation from the candidate's administrative superior citing his or her major accomplishments and the reasons for the nomination. This recommendation must be endorsed by the line administrators.

Each nomination shall be accompanied by a brief history of the candidate's University employment, and a summary of any particularly noteworthy contributions that he/she has made to the University.

II. PROCEDURE

The candidate's immediate administrative supervisor must initiate the request for the Emeritus title and provide justification for it. Requests must specify the anticipated date of retirement. Nominations shall be made as early as possible once the retirement date is known, preferably at least two months before the effective date of retirement. For appointees in the Regions and in Special Statewide Programs and Projects (SSPPs), the request is to be forwarded through, and endorsed by, the line administrators to the Coordinator of Academic Personnel. The Coordinator of Academic Personnel shall obtain the Associate Vice President's concurrence, and the nominee will be notified of the conferral of the Emeritus title. For campus-based appointees, campus procedures shall be followed.

III. OFFICE SPACE

It is University policy to provide office space for Emeriti upon their request. However, there is a shortage of office space. Therefore, office space shall be provided only when it is available, and when it can be provided at no additional cost. Priority shall be given to Emeriti who plan to continue to do creative work after retirement, as a contribution to the Division's planned work. Provision of office space will not include provision of secretarial or other office assistance. Space allocations for campus-based Specialists Emeriti shall be coordinated by the Dean or by his or her designee in consultation with the appropriate Department Chair and shall be subject to applicable campus policies and procedures.

IV. GIFT AND GRANT FUNDS OF EMERITUS ADVISORS

Gift and grant funds are given to the University of California in support of an Advisor's Cooperative Extension program in a designated county or counties. When an advisor retires, the funds remain in the University account under the direction of the County Director for continuation of the program(s) for which the money was intended to support. These funds may be used for other purposes only with consent of the original donor or granting agency.

If an Emeritus Advisor requests to continue his/her University of California Extension and Research Program, he/she may do so with prior consultation and agreement by the County Director and approval of the Regional Director. The Emeritus Advisor will be allowed to:

  1. Use existing gift and grant funds to support the program area or projects to which funds were donated such as outreach activities, research activities, presentation of papers at professional society meetings, completion of work in progress, and other activities within the scope of normal Cooperative Extension work. Travel may be permitted if it is consistent with program goals.
  2. Submit expenditures for University extension and research activities to be approved by the County Director in accordance with University policy, regulations and procedures.

  3. Continue to generate gifts and grant funding in support of the designated program if it does not conflict with another advisor's roles/activities. The Emeritus Advisor may continue with principal investigator (PI) status.

If an Emeritus Advisor, in the judgment of the County Director and Regional Director, does not comply with University policy, regulations, procedures and/or the designated program activities, the County Director/Regional Director may disallow the use of the program's funds. At the discretion of the County Director and if space, county budgets and regulations permit, an Emeritus Advisor may continue using available county funds, office space, telephone, computer facilities, vehicles, etc.

When a new Advisor is hired, the County Director (in consultation with the Regional Director) will determine how the existing program funds are to be utilized to support the new Advisor and the final completion of University extension/research activities of the Emeritus Advisor. The Emeritus Advisor may continue as PI on uncompleted research projects if it is considered appropriate by the County Director and is approved by the Regional Director.
